PepoSmart is an AI scheduling and meeting-intelligence platform. It combines booking pages and availability rules with an AI notetaker that joins supported online meetings, then produces transcripts, summaries, action items, coaching scores, CRM updates and reviewed follow-up email drafts. Availability and usage limits vary by plan.

Plans, prices and AI recording limits

Prices are per user, per month, in US dollars, excluding tax. Every paid plan starts with a 12-month free trial. Scheduling is unlimited on every plan; every plan includes the same 2 lifetime AI recordings, and paid plans add more with credit packs.

Starter: Everything in Free plus AI meeting notes, follow-up email drafts, coaching scorecards, deal intelligence, meeting analytics, paid team seats, and AI recording credit packs for recordings beyond the 2 included. Starts with a 12-month free trial.
Professional: Everything in Starter plus CRM integrations, Zapier and Make automation, signed webhooks, Slack notifications, payment collection at booking, and email broadcasts and sequences. Starts with a 12-month free trial.
Business: Everything in Professional plus team coaching views, priority support, and API access. Starts with a 12-month free trial.
Enterprise: Custom contract, dedicated support and custom integrations. Provisioned manually by the PepoSmart team, not through self-serve checkout.

On AI recordings. Every plan — Free, Starter, Professional, Business and Enterprise — includes the same 2 AI recordings for the lifetime of the account. No plan has a monthly allowance, none is unlimited, and there is no usage ceiling to read. Recordings beyond the included 2 come from the credit packs below, which any paid plan can buy. Scheduling is a separate matter: event types and booked meetings are genuinely unlimited on every plan, including Free.

On the free trial. Starter, Professional and Business each start with a 12-month free trial when you subscribe through Stripe Checkout. A card is required at checkout; the first charge happens only when the trial ends, 12 months after subscribing. Cancel any time during the trial and you are never charged. Per-seat billing still applies after the trial, and the trial applies to a new subscription only, not to switching plans on an existing one.

A recording counts against the allowance once the notetaker is booked onto the meeting and until processing finishes. Recordings that fail or are cancelled do not count.

Billing and seats

How conflicts are handled

PepoSmart checks your connected calendars before showing a slot and again when a booking is submitted, so a slot that is already busy is not offered. Events created outside a connected calendar, or on a calendar you have not connected, are not visible to PepoSmart and cannot be checked.

Teams and round-robin

Retention — Free	Recordings are retained for 7 days and then deleted automatically.

Limitations	Phone calls and in-person meetings cannot be recorded — the notetaker joins as a participant in an online meeting. The notetaker is a visible participant. Every attendee can see that the meeting is being recorded. Obtaining any consent required in your jurisdiction or by your organisation's policy is the host's responsibility. Recording can fail — for example if the bot is denied entry from a waiting room, the meeting link changes, or there is no usable audio. Failed recordings do not consume the plan allowance. Transcription quality varies with audio quality, accents, crosstalk and language.

How the call score is calculated

Published in full so the number can be checked rather than trusted. The score is the sum of four components worth 25 points each, normalised to a 30-minute call.

Engagement	25	Starts at 25. Loses up to 15 points for the longest monologue (over 45s, 60s, 90s and 120s thresholds) and up to 10 more where the host's talk share exceeds 65%, 75% or 85%.

What the score is not. The score measures conversational mechanics in the transcript. It does not measure whether the call was useful, whether the product fit the buyer, or whether the deal will close, and it should be read alongside the call itself rather than used on its own to evaluate a person.

Deal intelligence

Human control	CRM deal-stage changes are recommendations. PepoSmart surfaces a suggested stage and the user must approve it before anything is written to the CRM.
Limitations	Objections, risk signals and competitor mentions are detected from the transcript by pattern and model analysis. They can miss implicit statements and can flag phrases that were not meant as objections, so they are prompts for a human to review, not verdicts.

Limitations and responsibilities	Sending volume is bounded by your own SMTP provider's rate and daily limits, not by PepoSmart. Deliverability depends on your sending domain's SPF, DKIM and DMARC records and your own sending reputation. PepoSmart cannot guarantee inbox placement. Sequence membership is fixed when the sequence starts. Contacts added to the list afterwards are not enrolled in a sequence already running. A booking records that someone met with you. It is not, by itself, marketing consent — you are responsible for having a lawful basis before sending marketing email to a booking contact. Open tracking is an estimate. Image blocking, Apple Mail Privacy Protection and corporate scanning proxies both suppress real opens and manufacture false ones, so opens should not be the sole trigger for a high-stakes action.

Limitations	You connect your own Stripe or PayPal account. Funds settle to that account and PepoSmart never holds them. Supported currencies, payout countries and processing fees are set by Stripe or PayPal, not by PepoSmart. Refunds are issued from the Stripe or PayPal dashboard. Cancelling a booking in PepoSmart does not automatically refund a payment.

Security, privacy and data handling

What PepoSmart does not do

SSO and SAML are not available today.
PepoSmart does not currently publish a SOC 2, ISO 27001 or other third-party security certification.
There is no published uptime SLA outside an Enterprise contract.
The AI notetaker cannot record phone calls or in-person meetings.
There is no browser extension and no native mobile app; PepoSmart is a web application.
There is no public API for recordings, transcripts or coaching data.
PepoSmart does not hold funds — payments settle directly to your own Stripe or PayPal account.
PepoSmart does not manage marketing consent records on your behalf.
